Customers Admin should be able to create new customers or delete old customers Customer’s info should include Full Names and ability to add more than one Full Name if needed. (ex: Husband and Wife) Full address Phone Number with the ability to add more than one. Email address with the ability to add more than one. Username and password with reset abilities in case they forget them. Admin should be able to upload contract and customers should be able to sign contract in customer area or print and bring in and Admin should be able to upload the signed contract Admin should be able to view and change everything in the customer area including invoices and add or delete pictures. Employees Admin should be able to add new employees. Employees info should include Full Names, Social Security Number, Date of Birth, Adress, Email and Phone Number (ability to add more than one phone number) Username and password with reset abilities in case they forget them. Pay Rate and when changed it only changes going forward unless back dated. Admin should be able to view and change everything in the employee file. Employee App Log in and out to what Job and Task they are working on. Time should be recorded to the job/task and to the employee’s time. Be able to write a description of what they did and to add photos in each task. Employees should be able to see how many hours they have worked during current week and any time period. _____________________________________________________________________________________ The point of the program is to track and bill on each job and to keep track of employee’s hours. And to be transparent with the customers by allowing them to see where their money is being spent and the time it takes to fix their projects. With the jobs we have two ways we charge. Flat fee which means the customer knows what the cost of the job is before we start. By the hour. I do need the program to be able to bill both ways and to allow discounts on labor only. I will need to be able to bill for products and parts through the program. I want to be able to click a date period and the program generates an invoice taking the info that the employees put in, to which I can edit if needed. Once I am happy with the invoice it should go to the customer’s area so they can view it at any time and it should send them an email with it attached so they know they owe. I do have an invoice style I wish to keep using and I will send that to you. I also have a normal email that I send to customers when I invoice them which I would like to use as well. We bill most of our customers every week. For the employee’s time I want to be able to pick date period and it gives me what I owe them. So if someone works 40 hours during a time period and they make $20 per hour then the program tells me I owe them $800. If the employee works overtime, lets say 45 hours then the program should calculate the 40 at their rate of pay and the additional 5 hours at time and a half. Ex. 40 * $20 = $800 and $30 * 5 = $150 total would be $950. Besides being able to figure it weekly I will need to be able to figure yearly and sometimes monthly so I will need to be able to pick any date range I need at the time to see what someone has earned. There are some reports I would like as well. Reports Profit/Loss at the end of each job. This report should give me the following information. • Tell me if I made a profit or if I lost money and how much • Total labor paid. • Total products billed. • Total parts billed. • Total hours in the job • Total cost to customer • Total profit or loss Daily, Weekly, Monthly and Yearly reports. This report should give me the following information. • Number of hours worked on each job. (Each job/task broken down on a separate line so I see where people are working) • Cost of product used. • Cost of parts purchased. • Employees hours for the Day/Week/Month/Year
